We ask that you limit complimentary Huddles to one hour (nonconsecutive) to ensure all members have a chance to take advantage of this offering. Ideally, meeting rooms are meant for short-term meetings with more than one person.

Room Booking Guidelines FAQs
Can I book a paid room for less than an hour?
You may book for less than an hour if you choose, but your account will still be charged at minimum for a full hour. NOTE: You may be asked to leave a meeting room if you are using it without a reservation and/or be charged for the time spent utilizing the room.
Can I use my Convene credits to cover the booking cost?
Convene Credits will be used automatically for those members that have applicable Credits available.
Can the Convene Team take care of booking for me?
We cannot book a paid room on your behalf, but are more than willing to assist by showing you how to book the room on your account.
What is the cancelation policy?
You can cancel a booking via your Convene Member Portal anytime before the scheduled start time, free of charge. If the room booking is canceled after the scheduled start time, you will be charged the full amount for the original booking. You are able to add time to your booking while it is in session if you so choose.
Can I pay for a room booking using a credit card?
Hourly room rental fees can only be added onto member company accounts via monthly invoice. We are not able to accept credit cards at this time.
As the Convene point of contact for my company, can I block our employees from booking paid rooms via the Member Portal?
Unfortunately we are unable to block certain members from booking a room via the Member Portal. If you choose to limit bookings and/or restrict your team from booking paid rooms, we recommend managing that expectation internally and self-monitoring.
I see a booked room on my monthly invoice but don't know who booked it. Can you please provide the room booking details?

I booked a room for an upcoming meeting before the guidelines changed. Will I still be charged?
Yes, the room charge policy applies to any booking taking place on or after April 1st, 2022, regardless of when the booking was actually created.
What should I do if I need a room larger than the maximum capacity of those available on the Member Portal?
